This Privacy Policy explains how we collect your personal data, what we do with them and for what purposes.

It also explains what rights you have and how you can exercise them.

We process your personal data in accordance with applicable data protection legislation, which include the General Data Protection Regulation (Regulation 2016/679) (“GDPR”) and the national data protection laws.

1. To whom is this Privacy Policy addressed

This policy is addressed to our prospects and clients, the visitors of our website, suppliers and business providers and other stakeholders or parties in contact with us.

2. Collecting and processing of your personal data

We process the personal data that you have submitted to us within the framework of the agreement which was concluded with EDEBEX or which you wish to conclude with us, such as your contact details and information relating to the contract. This information is necessary to carry out your contract with EDEBEX.

a) We may record phone calls with our call center agents in order to ensure the quality of our services.

b) We also process data obtained via external sources, such as external databases and commercial partners, for prospection purposes. Should you like to know which external source has handed us your personal data, please take contact with our DPO at the above-mentioned address.

c) Furthermore, when you visit our website, we collect some information concerning your browser, IP address, etc. in order, amongst others, to make your use of our website as efficient and comfortable as possible and to protect our IT-systems from attacks and other illegal activities. Those are collected by using cookies. (see Section 7 below).

These data are also used by the analysis tools we use for online marketing purposes.

d) Finally, we may store the abovementioned data due to legal obligations and/or in order for anti-money laundering and anti-terrorism purposes.

3. Deletion of your personal data

We delete your personal date as soon as the purpose for which they have been collected and processed ceases to exist. After the purpose has ceased to exist, your data will only be kept if required by law.

Within the framework of the fight against money laundering and terrorism and, the data mentioned under a., b. and c. are kept for the following period:

a) The data processed within the framework of the execution of a (future) agreement, will be deleted after 10 years.

b) Phone conversations will be deleted after 10 years.

c) The data obtained from external sources for prospection purposes will be deleted after 10 years.

d) The information collected after your visit to our website will be deleted in accordance with Section 7) Cookies.

4. Transfer of your personal data

Your personal data may be transferred to our suppliers, subcontractors and business providers, who provide services that include data processed on our behalf.

These parties can solely process your personal data in order to carry out their mission and within the limits of our instructions.

When our suppliers and subcontractors are located in countries outside the European Economic Area, EDEBEX will make sure that appropriate safeguards and security measures to guarantee the security and confidentiality of your personal data are put in place.

Your data may also be transferred to our partners in order to allow these parties to send you direct marketing communications, unless you have opposed to such transfer.
In addition, we may transfer your personal data to public authorities or other third parties when required by law to do so.

5. Security measures

In order to protect your personal data against loss, destruction and against unauthorized access or manipulation, EDEBEX has taken both technical and organizational security measures.

This means, on the one hand, that our IT-system is equipped with back-up, filtering and firewall systems, in accordance with the adequate industry security standards and, on the other hand, that our employees have been made aware of the risks relating to data breaches and trained to correctly deal with your personal data, and that access to your personal data is solely granted to those persons who are authorized to do so in order to perform their duties.

6. Your rights and how to exercise them

The GDPR has granted you the following rights, which you can exercise by emailing our DPO at the following email address: privacy@edebex.com.

Right to access: You have the right to ask if we process your personal data and which personal data concerning you are processed.

Right to rectification: You may ask that we rectify and/or complete any inaccurate or incomplete personal data.

Right to erasure: You may request that we erase your personal data, amongst others if they are not or no longer necessary for the purposes for which they were collected or processed or if you have withdrawn your consent for the processing when there is no other legal ground for the processing.

Right to restriction of processing: Under certain conditions, you have the right to ask for a restricted processing, in which case EDEBEX shall, with the exception of storage, only process your data with your consent or for the establishment, exercise or defense of legal claims or for the protection of the rights of third parties, or for reasons of important public interest.

Right to data portability: If this is technically feasible, you have the right to ask to transmit your personal data to another controller.

Right to lodge a complaint with the supervisory authority: You have the right to contact the relevant supervisory authority if you believe the processing of your personal data violates the data protection legislation.

Finally, if the processing of your personal data is solely based on your consent, you have the right to revoke your consent at any time.

Your consent can be revoked without charge nor justification when processed for direct marketing purposes.

As explained under Section 2) d. we use cookies on our website.
